Bidding for a Conference

ACCE encourages CEGs, ACCE affiliates and other interested parties to approach ACCE about hosting national and international conferences.

It will be important in approaching ACCE and during the tender process to consult with the ACCE Conference Policy, ACCE Conference Guidelines and ACCE Copyright Policy.

The ACCE traditionally works with successful tenders to host the Australian Computers in Education Conference. Some description of this conference appears below.

Australian Computers in Education Conference
ACCE had successfully organised an annual conference from 1983 to 1996. The Board recognised that due to changing conditions and professional development agendas, it was no longer appropriate to continue to organise conference in the traditional format. A biennial model was suggested in 1995, providing opportunity for ACCE to explore alternative models and specialist conferences in the alternate year.

The biennial conference of ACCE is to be known as the Australian Computers in Education Conference with the initials ACEC followed by the digital for the year; for example, ACEC 98. In alternate years ACCE may host specialist conferences and events which will bear different and distinguishing names. This conference policy applies to all conference events hosted on behalf of ACCE.

Characteristics of an ACEC conference
The biennial ACEC conference should retain the following generic characteristics:

- Involve ACCE members nationally
- Achieve a balance across the membership profile for themes and streams
- Provide a forum for ACCE issues to be raised
- Provide a keynote of international repute from Australia and overseas
- Publish proceedings in electronic and / or paper form (refer to the Publications and Copyright policies)
- Ensure a selection of papers are refereed nationally
- Ensure authors and presenters are informed about the status of their conference submission at least four weeks prior to the conference
- Charge a registration fee agreed to by ACCE
- Use a quality venue at reasonable cost to participants.

Bids to host an ACCE conference
Member associations of ACCE are invited to bid for hosting an ACCE conference. This bid should:

- Demonstrate commitment to the objectives and current policies of the ACCE as a national organisation
- Operate within the ACCE Conference Guidelines
- Include details of existing / proposed structures within the member association with a list of key conference committee members
- Include a proposed budget, approximate registration fee and a letter from the President stating that the member association accepts the responsibility for underwriting and understands that 4% of registration fees (in case of a surplus) will be due to ACCE following the conference
- Attach a letter from the President stating that the ACCE Conference Policy has been read and understood
- Indicate proposed venue and dates
- Indicate clearly the refereeing process and referee board, and the nature and format for proceedings of the conference.

Such a bid should be submitted to the ACCE President in writing one month prior to the Board meeting and two years prior to the proposed conference so that the Board may consider the proposals. In other words, ACCE conferences are to be schedule two years in advance.
